What an AI sales responder can and cannot do for a broker
An AI sales responder in an auto transport CRM can answer customer texts on a salesperson's line when nobody is at the desk, quote by your company's rule, take the booking details and email the contract. It should pass anything outside its job to the salesperson, and choosing and dispatching a carrier should always stay with a person.
Customers text at all hours, and a quote request that arrives at 11 PM waits until morning unless something answers it. By then the customer may have heard from other brokers. An AI responder covers those hours by handling the parts of the sale that follow rules. The parts that need a broker's judgment, starting with which carrier gets the load, stay with your salespeople.
What an AI sales responder does in a broker CRM
A responder should answer on the salesperson's own line. The customer keeps texting the same number, and the salesperson picks up the same thread in the morning. The owner should be able to turn it on or off for each salesperson, and choose whether it answers after hours only or during working hours too.
When a customer asks for a price, the responder quotes by the rule your company set, based on what carriers take on the route. When the customer is ready to book, it takes the pickup and delivery details, books the order and emails the contract.
What AI should not do on a car shipping desk
Picking a carrier means weighing the pay, the pickup window and the carrier's record, and the broker answers for that choice. That choice belongs to a person, even when an AI booked the load.
In Leader CRM, the responder can post a booked load on Central Dispatch at the carrier's part of the total, with a switch to turn that on or off. If a load is already posted under that order, it links to that post and does not make a second one. The Central Dispatch integration guide covers the rest of that connection. Choosing and dispatching the carrier always stays with the salesperson.
The responder also should not guess. Before you turn one on, decide which messages you want a person to answer, such as complaints or questions your pricing rule does not cover, and ask the vendor how the AI hands those off. Leader CRM's responder hands anything it should not handle to the salesperson instead of answering.
How the handoff to a salesperson should work
A handoff works when the salesperson has nothing to piece together. In the morning they open the customer and see the whole conversation the AI had, on the same line and in the same timeline, then take it from there. If the AI booked the order overnight, the order is already in the CRM with the contract sent.
Follow-ups from AI when a customer goes quiet
AI follow-ups need tighter limits than a salesperson's, because nobody reads them before they go out. Set a small number of messages, keep them to daytime hours in the customer's own time zone, and never send one after the customer said no or texted STOP.
Leader CRM's responder sends a customer who stops answering up to three short follow-ups: 3 hours later, 2 days after that, and 4 days after that. They go out only between 10 AM and 7 PM in the customer's time, never after a no or a STOP, and never within a day of an automatic text from the follow-up plan.
Can AI price a car shipping lead?
It can, if the price comes from real carrier pay and matches the job. Leader CRM's Auto price prices a new lead from what Central Dispatch shows paid on the lane for the same vehicle, trailer and running state. You choose the mode. In show-only mode the salesperson sees the Central Dispatch price and sends the quote themselves. The other two modes write the price on the quote, or write it and send it.
An AI receptionist for phone calls
Phone calls need cover too. Leader CRM's AI receptionist answers calls at once, finds the caller's records, answers what those records say, takes messages and quote requests, and puts callers through during the hours you set. Calls it puts through land with your salespeople, and the auto dialer guide covers the calls going out.
What the AI does and what stays with a person
| The AI in Leader CRM does | A person does |
|---|---|
| Answers customer texts on the salesperson's line, after hours or all day | Picks up the conversation when back at the desk |
| Quotes by the company's rule | Sets the rule and handles anything it does not cover |
| Takes booking details, books the order and emails the contract | Answers whatever the AI hands off |
| Posts a booked load on Central Dispatch when the switch is on | Chooses and dispatches the carrier |
| Sends up to three follow-ups to a quiet customer, 10 AM to 7 PM their time | Calls the customer who is still deciding |
| Answers phone calls, takes messages and quote requests | Takes the calls it puts through during set hours |
How owners keep an eye on AI
An owner should see two things every morning. The first is the responder's report of texts sent, customers answered and anything that needs a look. The second is whether the AI is running at all. The status panel on the Leader CRM owner dashboard lists AI and background jobs next to phones, email, Central Dispatch and follow-ups.
Start with one salesperson, after hours only
Turn the responder on for one salesperson, after hours only, and leave the Central Dispatch switch off for the first week. Each morning, read its report and the conversations it had before that salesperson starts the day. Widen it once the quotes and handoffs read the way you want them to.

How automated follow-up should work in a car shipping CRM
Automated follow-up in a car shipping CRM should send every quoted customer a planned series of texts and emails from their own salesperson, a morning touch and an evening touch, until the customer answers. It should wait the moment the customer writes, never text a number that sent STOP, and give the owner one switch that pauses it all.
What a Central Dispatch integration should do in your CRM
A Central Dispatch integration should show your salesperson what carriers were paid on the lane before they quote, post the load from the signed order with one button, and keep posted loads in their own list. If your desk still copies the route, vehicle and price into Central Dispatch by hand, you have two systems and no integration.
What an auto dialer for car shipping brokers needs
An auto dialer for car shipping brokers needs a call queue that shows each customer's last message, a way to work that queue without dialing by hand, a recorded voicemail drop and a board of missed calls nobody has returned. It should run on the phone and texting app your desk already uses, so a salesperson calls or texts with one button.
